How to write an owner statement with Claude
The monthly owner statement is the single most important deliverable a management company sends. With the Owner Relations skill loaded, Claude drafts a one-page statement per owner from your reconciled numbers — and adds the short narrative owners actually read.
Step by step
Load the Owner Relations skill
In Claude.ai, create a Project, paste the Owner Relations SKILL.md into the Project instructions and save. Or run
npx github:msg2ai/vacationrental-team-skills installonce and Claude Code picks the right skill from your prompt.Give it reconciled numbers
Share the month's figures from your trust-account export or the Finance & Trust skill's payout run. The skill is written to pull numbers from the Finance & Trust slice and reconcile to the trust account — not to invent them.
Ask for the statement
Each one-page statement covers gross booking revenue, OTA / channel fees, cleaning fees passed through, the management company fee, taxes collected, owner net payout, occupancy %, ADR, number of bookings, gap nights and any work-order charges.
Review the narrative
Claude adds a 3-sentence “what happened this month” narrative: the top win, one thing to watch, and what's coming next month.
Export and file it
You get a PDF-ready (A4) version plus a plaintext version you can paste into an email. With a Knowledge Base connected, it saves to 04-owners/{owner-slug}/statements/{YYYY-MM}.md.
Approve before anything is sent
When Gmail or AgentMail is connected, the skill drafts the send-with-statement email but does not send until the GM or Finance lead approves. Always have your bookkeeper review statements before they go out.
The prompt to paste
What you get back
- One statement per owner with a per-property P&L narrative, ready for Finance to sign off
- A PDF-ready (A4) version and an email-pasteable plaintext version
- A drafted send-with-statement email, held for approval
Tips from the skill
- Owners care about money first, transparency second, communication third — lead with the number.
- Never blame the guest, the OTA, or the cleaner in writing — own the issue and describe the fix.
- Statement copy should pass the “would I send this to my own dad” test.
